# Charging clients

> Create session charges in Thrizer, learn what charge details are required, and see how each charge triggers payment processing and out-of-network claims.

## Before you start

Use Add Charge to bill a client through Thrizer.

## Where to add a charge

You can add a charge from:

* **Clinician Portal → Home → Add Charge**
* **Clinician Portal → Clients → Add Charge**
* **Clinician Portal → Clients → Client detail → Add Charge**

## Charge fields

The charge form includes:

* Client
* Payment Method
* Amount
* Appointment Type

Client detail and charge forms can also include:

* Selected clinician
* Appointment date
* Location
* Service
* Duration

## Charge readiness

Before Add Charge will accept a charge, your account must be ready to bill. Add Charge is blocked when any of the following is true:

* **Merchant account not approved.** Business and banking setup must be complete and approved by Thrizer before any charge type can be processed. This applies to Self-Pay as well as OON Pay and Thrizer Pay.
* **Clinician verification not in good standing.** Accounts that are pending administrator verification or suspended cannot process charges. Verified accounts (or legacy accounts without a verification status set) can charge.
* **Missing attribution name.** The selected rendering clinician must have a first and last name on file so payouts and claims can be attributed.

If any of these conditions fail, Submit is disabled and the form shows an inline message explaining what to fix. Update business setup, profile, or contact support to resolve the block, then retry the charge.

### When Individual NPI is required

Individual NPI is only required when the charge bills insurance:

* **OON Pay and Thrizer Pay** require a valid Individual NPI on the rendering clinician. Without one, OON Pay and Thrizer Pay are disabled in Add Charge and the form falls back to Self-Pay.
* **Self-Pay** does not require an NPI. You can submit Self-Pay charges before an NPI has been entered.

## Charge amount limit

Charges submitted from the Clinician Portal are capped at a **session rate of \$2,500**. If the amount (or full rate, when set) on the form exceeds \$2,500:

* An inline error appears on the amount field.
* Submit is disabled until the amount is reduced to \$2,500 or less.

If your practice needs to process a larger transaction, contact Thrizer support. A Thrizer administrator can review and process oversized charges on your behalf.

## If the client already paid you outside Thrizer

Add Charge is designed to collect a new payment from the client's payment method on file. If you have already collected payment for the session outside Thrizer, do not create a Thrizer charge for that session. Doing so would bill the client a second time.

If the goal is to submit an out-of-network claim for that session, the client can file it themselves through Thrizer using Superbill Upload from their client account. Provide the client with a valid superbill, and the client uploads it to file the claim.

* OON Pay and Thrizer Pay require the payment to be processed through Thrizer, so those options do not apply when payment happens outside Thrizer.
* The Superbill Upload option applies only when the claim has not already been submitted to insurance.

## Group practices

In a group practice, the selected clinician on the charge is the provider of record for claim data and payout attribution. The logged-in user who creates the charge can be different from the selected clinician.

## What happens when a charge succeeds

For OON Pay and Thrizer Pay:

1. Thrizer charges the client payment method.
2. If payment succeeds, Thrizer submits the claim automatically.
3. You do not need to submit a separate manual claim for that charge.

If payment fails, Thrizer does not collect payment or submit a claim. Resolve the payment issue before retrying the charge.

## Date of Service and payment type

OON Pay and Thrizer Pay are only available when the Date of Service is today or tomorrow (UTC). Sessions two or more calendar days in the future must use Self-Pay.

In Add Charge:

* If you select a Date of Service more than one day ahead, OON Pay and Thrizer Pay are disabled in the payment type dropdown. The form switches to Self-Pay and a confirmation message appears.
* If you select OON Pay or Thrizer Pay without a Date of Service, or with a date more than one day ahead, Thrizer does not accept the charge.
* Self-Pay accepts any future Date of Service, so it remains the option for advance billing.

To bill insurance through Thrizer for a future session, wait until the day before or the day of the session, then create the charge.

## Charge types and limitations

Charges and claims must follow Thrizer’s product constraints:

* One charge corresponds to one claim.
* Each charge supports one CPT code.
* A single charge cannot be split across multiple payment methods.
* No-show and cancellation fees are self-pay only and are not submitted to insurance through Thrizer.
* OON Pay and Thrizer Pay require a Date of Service that is today or tomorrow (UTC). Further-out sessions must use Self-Pay.
* The session rate on a charge cannot exceed \$2,500 from the Clinician Portal.
